// For sales reps and field teams
Field rep and work tracking system
Do you have reps visiting shops, or a team that goes out to customers? Most follow-up today happens by phone and WhatsApp: Where are you? Did you take the order? Did you collect the money? At the end of the day the rep brings a sheet of paper and you type it into Excel.
We build a simple field-rep tracking system: an app on the rep's phone to record visits, orders and collections, and a dashboard where you see the work as it happens.
The problem isn't the rep, it's late information
When orders arrive on paper, the warehouse prepares them late. When collections come in at the end of the week, you don't know who paid and who still owes. And you only know a visit happened because the rep says so.
- Orders get lost or written down wrong
- Collections aren't recorded on time
- You don't know which customer hasn't been visited in a while
- Rep reports take time to put together
What the system does
We build what your team needs. Most systems of this kind combine:
- Visits: the rep records the visit, notes and a photo if needed
- Field orders: pick items and quantities; the order goes straight to the warehouse or office
- Collections: record the amount received, issue a receipt, and the balance updates
- Tasks: assign tasks to the team and see what's done and what's pending
- Routes: each rep's customer list by area
- Reports: sales, collections and visits per rep and per area
- Dinars and dollars if your business needs both
Location, only with consent
Recording an employee's location is sensitive. We build it only if you really need it, with the employee's consent, and only during working hours or at the moment a visit is logged, not all day. We recommend agreeing on it clearly with your team from the start, so it's a planning tool rather than surveillance.
When the signal is weak
Reps often work in areas with poor coverage. We can build the app to save visits and orders on the phone and upload them once the connection is back, so nothing is lost.
How we work with you
We start by understanding a rep's day in your business, from the first visit to handing in the cash. You get a clear quote and stages, and we test the app with one or two reps before the whole team uses it. If you have an inventory system or Odoo, we can connect orders to it, and we train the team before go-live.
From our work
- A work and field-rep tracking system: visits, orders and tasks, with a manager dashboard
- Inventory and sales systems that receive orders coming in from the field
Questions about this service
Does the app work on any phone?
We build it for Android and iPhone. If you prefer, we can make it a web system that opens in the browser without installing anything.
Do I have to track reps' locations?
No, it's optional. A lot of businesses only need visits, orders and collections. If you do need location, it's with the employee's consent and limited to set times.
Can it connect to my inventory system or Odoo?
In most cases yes, but we look at your system first and tell you what can be connected, and how, before we start.
Can a rep see a customer's balance before the visit?
Yes, if you want. Reps can see only their own customers' balances and recent orders, so they collect the right amount and know what to offer, without seeing other customers' accounts or the business's profit.
How much does it cost and how long does it take?
It depends on the screens, integrations and hosting. Once we understand your work, you get a clear quote and an estimated timeline, and we work in stages so you see progress.
